How to Make a Business Card That Prints Correctly

The first box of cards almost always comes back a little wrong. The blue is darker than it looked on screen, or the logo sits closer to one edge than it did in the file, or a thin white border appears where there wasn't supposed to be one. None of that is the printer's fault. It's the file.

A business card is a small, unforgiving format. There's no room to hide a mistake the way you can on a poster or a webpage, and the printing process itself changes colors and trims edges in ways a screen never shows you. Getting the file right the first time is mostly about knowing what happens between "looks good on my monitor" and "cut and boxed."

The short answer

Build the file at 3.75 x 2.25 inches: the actual 3.5 x 2 inch card size plus a 0.125 inch bleed on every edge. Set the color mode to CMYK, the resolution to 300 DPI, and keep all text and logo elements at least 0.125 inches inside the trim line. Export a flattened PDF with fonts embedded or converted to outlines. Bleed is the step most people skip, and it's the one that shows up as a white sliver along one edge of the finished card.

Card size, bleed, and safe area

In the US, the standard business card is 3.5 x 2 inches. Most of the rest of the world uses 85 x 55 mm, a slightly different ratio. Check which one your printer expects before you set up the file, since the two aren't interchangeable.

Bleed is the extra margin you add around the card so that any background color or image runs past the edge, not up to it. Printing and cutting aren't perfectly aligned to the pixel, so if your design stops exactly at the trim line, a cutting error of even a hair can leave a thin sliver of white paper along one side. Add 0.125 inches of bleed on all four sides, which brings the working file to 3.75 x 2.25 inches for a US card.

The safe area works the other direction: keep logos, text, and anything else you need fully visible at least 0.125 inches inside the trim line, not right up against it. That gives the same cutting variance somewhere to land without clipping a letter or cropping part of your mark.

That's a straight unit conversion of the US size, not the separate 85 x 55 mm ISO card standard used elsewhere in the world.

Set up the file in CMYK, not RGB

Screens display color as RGB (red, green, blue light), but printers mix physical ink using CMYK (cyan, magenta, yellow, black). The two systems can't reproduce the exact same range of colors, and RGB covers a wider range than CMYK can print. A file built in RGB and printed without conversion tends to lose saturation, and bright blues, greens, and oranges shift the most.

Build or convert the file to CMYK before you finalize colors, then check any exact color values against a CMYK build of your palette rather than the on-screen RGB version. Resolution matters here too. Set the file to 300 DPI (dots per inch) at final print size. A logo or image that looks sharp at 72 DPI on a screen will look soft or pixelated once it's printed, because print needs far more detail per inch than a display does.

Logo sizing on a small card

A logo that reads clearly on a website header can turn into a smear at business card size. Test your logo at the actual card dimensions, not zoomed in on your screen, before you commit to a layout.

If your logo includes a full wordmark, a simplified icon-only version often works better on a card this small, especially alongside a separate name and title in text. Typography that survives small print

Body text below about 7pt tends to lose legibility once it's printed and handled, especially on uncoated stock where ink spreads slightly into the paper fibers. Keep your name and title around 9-11pt, and don't drop supporting details like a phone number or address below 7pt.

Thin, light-weight fonts lose definition at this size more than a font with even, moderate stroke weight. If your brand's primary typeface is a thin display font, consider a slightly bolder weight for the card, or reserve the display font for your name and use a plain sans-serif for the smaller contact details.

Choosing paper stock and finish

Card stock is usually described by weight in points (pt) or grams per square meter (gsm). A common starting point for business cards is 14pt (roughly 350 gsm), which feels noticeably sturdier than standard printer paper. Heavier stocks, 16pt and up, cost more but hold up better to being carried in a wallet or pocket.

There's no universally correct choice. A landscaper handing out cards on a job site benefits from a sturdier stock that survives a truck cupholder. A boutique studio might prioritize a finish that photographs well for social media unboxing shots.

Exporting a print-ready PDF

Most print shops want a PDF, not an editable design file. Before exporting:

  1. Flatten any transparency effects (shadows, gradients over transparent layers) so they render the same on the printer's system as they do on yours.
  2. Embed all fonts, or convert text to outlines/curves, so the printer isn't substituting a different font if they don't have the one you used installed.
  3. Confirm the file is in CMYK, at 300 DPI, sized 3.75 x 2.25 inches for a US card including bleed.
  4. Include crop marks only if your specific printer asks for them; many accept a plain bleed file without marks and add their own.

Open the exported PDF and zoom in on the logo and smallest text before you send it. A file that looks right in your design software can still export incorrectly if a layer didn't flatten the way you expected.
